Position overview

Massey University Information Technology Services (ITS), is seeking an Information and Communications Specialist to own and drive the information and internal communication activities for ITS to the wider university audience.

We are seeking an energetic and highly organised person to manage all information and communications activities for ITS. You will be responsible for improving information quality and accessibility, coordinating publication and providing guidance on information management and written communications skills for ITS. Additionally, you will help implement best practice information management and communications across ITS to the wider university audience.

The successful candidate will possess excellent verbal and written communication skills, be highly organised and self-motivated with impeccable attention to detail. You will also have the ability to interact in a professional manner with staff at all levels of the organization and achieve results through staff who are not direct reports. A degree in an appropriate field coupled with experience in internal communications, web content management, basic HTML, CSS, digital editing, search optimization and web analytics knowledge is also be required.

Job description

Purpose statement

• To manage all information and communication activities for ITS.
• To improve the quality and accessibility of ITS information.
• To coordinate the publication of ITS communications.
• To provide guidance and training for ITS staff to enable them to improve their information management and written communication skills.

Responsible to

ITS Training Manager

Key accountabilities

• Creation and publishing
o Content creation, writing and editing with exacting attention to detail and a flair for design
o Interpret ITS project, product and service information and translate into relatable, readable content
o Create or coordinate the creation of graphics and other media assets while following style and brand guidelines

• Projects
o Provide assistance and support as required in the creation of internal and external facing project communications plans and related deliverables

• Strategy and planning
o Improve quality, accessibility and effectiveness of ITS information and communications
o Implement best practice information management and communications across ITS
o Assist in the ongoing development of the ITS Information and Communications Strategy
o Respond to enquiries from ITS staff relating to information and communication activities in a way that is helpful and promotes their adoption of the ITS Information and Communication Strategy

• Relationships and influence
o Build strong working relationships with relevant departments to ensure that ITS’ information and communication activities support the university’s policies
o Connect with other internal communications stakeholders and forums to represent ITS

• Information Management
o Collect, organise and distribute ITS information and communications
o Engage stakeholders to actively participate in the improvement of ITS communications to the community
o Define and implement quality standards for information and communication within ITS

• Communications Management
o Improve ITS customer awareness of ITS products and services by:
 Analysing and reporting on customer consumption of ITS communications
 Identifying most effective existing and explore new channels to deliver content
 Publishing marketing materials and internal communications, and coordinating events
 Manage ITS’ communication channels
 Drive information releases regarding new ITS services
 Coordinate the updating of the ITS web and intranet-sites to ensure all customer facing information is accurate and up-to-date at all times
 Keep abreast of new technologies, channels and creative ways for communicating and measuring success

o Contributing to the wider success of the organisation by willingly undertaking additional tasks and responsibilities as required

Person specification

Qualifications

A degree in an appropriate field

Experience

• A minimum of 2 years internal communications experience
• Experience in change communications
• A minimum of 2 years web content management experience
• Experience in internal service promotion and customer engagement

Personal attributes and behaviours

• Technical Abilities:
o Exceptional writing and verbal communication skills
o Able to concisely communicate using appropriate language and structure appropriate to the audience and intent
o Attention to detail, especially in copy writing, editing and proofreading
o Competence in a range of standard software packages including MS Office and Adobe creative applications
o HTML and CSS knowledge
o Digital production and editing skills
o Knowledge of search engine optimisation and web analytics

o Highly organised and self-motivated with impeccable attention to detail
